For Organizers (Admin)

Series, Seasons & Team

Create new seasons each year and manage who on your team can do what.

Above individual seasons sits the series admin — for running the event year after year and managing your organizing team. It’s reached from …/admin on your series.

Series dashboard

The series dashboard lists every season in the series with its dates, location and status, and gives you the two series-level actions: Add New Season and Manage Users.

Creating a new season

The New Season wizard walks you through setting up next year’s edition in three steps:

New season wizard

  1. Basic information — the season slug (usually the year) and the registration start/end window.
  2. SoaringSpot configuration — the API ID, Client ID and Secret for the event (with an option to use the Soaringspot test domain). These power results syncing.
  3. Preview & confirm — GldComp fetches the competition from Soaringspot so you can verify the details before creating the season.

Finding your Soaringspot ID and API keys

You’ll find everything you need on your competition’s admin page in Soaringspot:

Where to find the Soaringspot competition ID and API keys

  • The competition ID (the API ID) is the number at the end of the contest URL — …/admin/contests/<ID>.
  • The Client id and Secret are listed in the Api keys section near the bottom of the page.

Copy these into the wizard’s SoaringSpot configuration step.

Managing your team

The Users page is where you invite people and control their access.

Series user and role management

  • Invite a user by email with a display name, a role, and an invitation expiry. They set up their own passkey when they accept.
  • Assign one of three roles:
    • Admin — full control across the whole series.
    • Organizer — full control of a specific season.
    • Reporter — news only, for a specific season.
  • Add or remove roles per user, and deactivate accounts that no longer need access.
  • Track pending invitations and resend or cancel them.

This role model lets a series owner safely delegate a single season to a local organizer, or hand news duties to a press officer, without giving away the keys to everything.
